Create and complete demo scorecards

A demo scorecard is an evaluation designed for people watching a vendor demonstration. It converts the agreed agenda and success criteria into comparable responses that feed project scoring. Build the scorecard before the round, use the same published version for equivalent sessions and keep free-form meeting material in the vendor meeting record.

Before you start

• Translate the demo agenda into observable criteria; avoid scoring claims that the session cannot demonstrate.

• Decide whether every criterion carries equal importance or whether sections and questions require weights.

Step by step

1. Create the right evaluation type

Open Evaluations → New and choose the demo-scoring type or an appropriate saved template. Give it a title that identifies the round or scoring purpose.

2. Build observable questions

Group questions by agenda section and use rating, choice or evidence fields that scorers can answer consistently. Add guidance that explains what strong and weak performance look like.

3. Set scoring behaviour

Choose unscored, equal or weighted scoring as appropriate. If weighted, confirm section weights total 100 and preview how not-applicable responses behave.

4. Preview and publish

Preview the full scorer journey, correct unfinished questions and publish the release. Published content is the version a demo round can assign.

5. Assign through the round

Open the Demos hub, attach the scorecard to the intended round and invite scorers. Ask each scorer to submit their own judgement rather than combining opinions in one response.

6. Review completion and results

Track outstanding scores, then review demo results and comments in the evaluation or comparison view. Investigate outliers rather than silently replacing them.

What happens next

• Version the scorecard only when a later round genuinely needs different criteria.

• Use recorded meetings for agenda, attendees, attachments and agreed follow-ups that do not belong in scores.

Troubleshooting

Publishing is blocked

Finish or remove incomplete questions and ensure the scorecard contains at least one valid question.

Scores do not appear in comparison

Confirm the scorecard is the demo-scoring type, the scorer submitted rather than saved a draft and demo has a non-zero project stream weight.

Different scorers saw different wording

Check which published version each assignment used. Keep equivalent sessions on one release or document why a later round used a new version.
