Understand directory, workspace and project vendor records
Know which vendor record you are viewing before changing shared or project-specific information.
Disqovr represents a vendor at three related scopes. The curated directory is the shared source used to discover known vendors. A workspace vendor is your organisation’s private relationship with a vendor, including records submitted by your team. A project vendor is the relationship created when that vendor joins one project. Knowing the scope prevents a project status, contact or note from being mistaken for global vendor data.
Before you start
• Open the workspace in which you intend to work; vendor favourites and private records belong to that workspace.
• Have a specific project in mind before recording shortlist status, outreach, meetings, proposals or evaluation evidence.
Step by step
1. Start in the directory
Open Vendors → All to search the curated directory. Directory profiles describe the vendor and its capabilities so teams can reuse the same identity instead of creating near-duplicates.
2. Recognise workspace records
Use Favourites for vendors your workspace follows and Your vendors for private records submitted by your organisation. A private workspace vendor is not automatically part of every project or visible in the public directory.
3. Add a vendor to a project
From the project vendor area, add a directory or workspace vendor. Disqovr creates the project relationship used for pipeline status, contacts, questionnaires, demos, proposals and decisions.
4. Edit at the correct scope
Use the directory profile for shared discovery information. Use the project vendor page for project contacts, notes, elimination, sandbox access and commercial evidence. Do not copy project-only conclusions into general profile text.
5. Follow the relationship
Return to Vendors for discovery and portfolio context; return to Projects → Vendors for active procurement work. The same vendor can have independent relationships and outcomes in several projects.
What happens next
• Favourite a useful directory vendor without adding it to a project, or add it when the project is ready for engagement.
• Submit a missing vendor when search and duplicate checks show that no suitable directory or workspace record exists.
Troubleshooting
A vendor appears in Vendors but not in a project
Directory and workspace records are not automatically project participants. Open the project, choose Add vendor and select the existing record.
Project notes are missing from the directory profile
This is expected. Notes and evidence attached to a project vendor stay with that project relationship.
Two records look like the same company
Compare website, legal name and existing workspace records before adding another. Use the established record or ask an admin to resolve the duplicate.
